Want to build rockets on the Gold Coast? We’re recruiting Part time Administration Assistant for approximately 20 hours per week to work with our team who build rockets.

How you will contribute to our mission in getting Australia to space:

  • Provide personal administrative support and assistance to the Executive Team
  • Coordinate communications, including responding to emails, taking incoming calls to the company and interfacing with external parties to the business
  • Coordinate and facilitate meetings, both internally and externally, ensuring all necessary materials and resources are available.
  • Manage and maintain calendars, schedules, appointments, and travel arrangements
  • Book international and domestic travel in line with Company Policy
  • Streamline office processes, identifying opportunities for increased efficiency and implementing solutions as needed.

  • Maintain an organised filing system
  • Draft and proofread correspondence and all written communication on behalf of the executive team whilst demonstrating flexibility and adaptability
  • Read, evaluate, record, amend and disseminate documentation, as instructed
  • Arrange and co-ordinate meetings and corporate events (both internal and external), including organising catering
  • Perform general administration duties, ensuring detail is accurate, presented in required format and delivered in relevant timeframes
  • Co-ordinate project-based work as required
  • Coordinate and facilitate executive-level meetings, both internally and externally, ensuring all necessary materials and resources are available.
  • Conduct research, compile data and prepare summaries or reports as necessary to aid decision making processes
  • Develop and sustain a level of professionalism among staff and clientele
  • Flexibility to adapt to changing priorities and a willingness to take on new challenges
  • Order and stock stationery & snack cupboards as required
  • Greet visitors on site, sign them in and direct them as appropriate
  • Other duties as requested by Management

 

Skills and Experience:

Mandatory Qualifications, Skills and Experience:

  • Demonstrated ability to organise travel, act professionally, maintain confidentiality and work under pressure
  • Ability to obtain NV1 Security Clearance (note this is not currently required but maybe a requirement in the future)
  • Excellent verbal and written communication
  • High level of professional discretion
  • Ability to take accountability for tasks
  • Intermediate to advanced skills in Microsoft office with an ability to adapt readily to company specific programs and software
  • Strong organisation, project management and problem-solving skills
