Job Description

Due to an internal transfer, EPE is seeking the services of a Logistics Coordinator based at its head office in Spring Hill, to commence mid Jan 2023. Ideally candidates will have experience with the majority of the below responsibilities; but if not, we place greater value on the right attitude and personality, than experience, and will be happy to train you up!

We will negotiate a competitive package for the right candidate.

Key Responsibilities

Freight administration and management including:

  • Researching logistics options for movement of equipment domestically and internationally and Freight Quoting
  • Receipting Sales Orders from Sales Admin and/or OEM and track delivery schedule
  • Forklift driving for goods receipt and other occasional workshop duties as required
  • Entering equipment for a critical Defence project is entered onto its MILIS system
  • Ensuring import and export permits are in place if required
  • Booking all domestic and international freight with freight forwarder or couriers, from 35-40 suppliers from 7-8 different countries
  • Tracking deliveries and advising Sales Administrator and Capability Managers/Project Managers of delivery status
  • Receipting goods and following inwards goods processes, including co-ordinating conformance checks by Capability Managers
  • Independently completing conformance checks, quantity checks, recording serials etc, on approved products (where trained by Capability Managers)
  • Preparing all goods for shipping including customer packing lists, complex Defence labelling requirements, palletising, product dimensions and weights, as well as all associated paperwork
  • Arranging transport to customer, update PO Register, and return paperwork to Sales Administrator

Freight compliance tasks including:

  • Updating and managing freight folders – Demo stock, ITAR products and licenses, EAR products and licences, EDN (export dec) and N10A (import dec) for Trusted Trader
  • Ongoing compliance with Trusted Trader
  • Ensuring ongoing import/export permits and licenses are obtained and maintained, including NZ
  • Developing an understanding of ITAR & Trade Treaty requirements for shipping, recording and security
    Coordination of dangerous goods compliance with IATA standards
  • Ensuring shipping compliance with state, federal and international regulations

Developing and managing the Demo Kit Logistics system including:

  • Inventory of all demo equipment including storage location
  • Liaison with OEMs to co-ordinate freight of equipment including transport, import/export requirements, ensuring compliance with all requirements and filing of all correct paperwork
  • Arranging all domestic movements including picking equipment, palletising, wrapping, labelling, freighting
  • Recording of all demo kit movements

Maintenance Admin including:

  • Assist Maintenance Team with RMA movements and administration
  • Assist Maintenance Team with FIIX system data entry

Other duties including

  • Logistics and administrative tasks and projects as directed by the Operations Director and CFO
  • Providing support across all EPE business units
  • Carrying out all activities in accordance with the EPE Values Statement, Quality Management System, Work Health and Safety Management System, Company and Personnel Policies, and Security Policy and Procedures

Key Skills and Experience

  • Mature attitude and well presented
  • 2 years+ experience in logistics and freight administration
  • High level of proficiency with the MS Office suite, internet-based government portals and courier booking and quoting systems
  • Experience with Defence’s MILIS system
  • Able to work autonomously or as part of a team
  • Ability to handle a fast-paced and evolving environment with multiple deadlines as required
  • Forklift ticket, forklift driving, goods receipt and palletising experience
  • Self-motivated with demonstrated initiative/proactiveness and willingness to take on minor projects
  • Willingness to learn new systems or develop new systems
