Engineering Administrator

In this critical role, you will provide essential administrative support across all facets of Base Engineering Operations, specifically catering to Babcock’s Aviation sector.
Reporting directly to the Head of Engineering, you will collaborate closely with the Engineering team and external stakeholders, fostering robust relationships to ensure seamless operations and support.
Key responsibilities will include:
- Manage and oversee engineer training (initial & recurrent)
- Liaise with training providers to provide appropriate course schedules to ensure best practice and value.
- Liaise with engineers & training providers to ensure recurrent training is completed within required timeframes.
- Maintain engineer Air Maestro records for company required training & personal details.
- Maintain sub-contractor records.
- Maintain the engineering training needs analysis and review with management.
- Maintain apprenticeship administration, including records, training contracts, training plans, enrolments, apprentice training results.
- Monitor training organisation performance and arrange regular feedback and meetings in the interests of our apprentices.
- Ensure any apprenticeship grants are fully explored.
- Manage engineer inductions:
- Develop and manage induction schedule with engineer & relevant company departments.
- Responsible for arranging IT & site access, Police clearance if required.
- Uniforms & company welcome.
- Produce & publish engineering technical Memo, Standard Work Instruction (SWI), Engineering Staff Instruction (ESI) or other correspondence as required by MM or HOE.
- Manage Air Maestro library for document review as applicable.
- Maintain Halon Special Permit records, regulatory requirements, and training.
- Maintain the Refrigerant Trading Authorisation records, regulatory requirements, and training.
- Maintain engineer Company Authorisations including renewals or changes in preparedness for approval and distribution.
- Maintain the Field Toolbox serviceability Smartsheet.
- Create meeting minutes where required.
- Manage engineer lone worker devices.
- Explore the filing options for engineering records and broader company best practice (i.e., SharePoint, Smartsheet utilisation)
- Develop the administration for the aircraft modification review process.
- Assistance with Development of the Chem Alert web based chemical safety management systems.
About you
You have strong computer skills, comfortable with Microsoft Office Suite and are confident in picking up the use of new systems. While experience with Air Maestro is desirable, it’s not a requirement.
Your exceptional organizational and time management skills enable you to juggle multiple tasks efficiently. With meticulous attention to detail, you ensure accuracy in all your day to day. Your strong communication skills allow you to effectively collaborate with others and build strong rapport with both internal and external stakeholders.
Additionally, you will need the ability to obtain an ASIC (Aviation Security Identification Card), a crucial credential for fulfilling the role’s requirements within the aviation sector.
